About The Role
We are seeking a Document Controller who excels in organisation, accuracy, and collaboration. In this role, you will be the backbone of our document management process, responsible for maintaining and updating the Document Management System (DMS). Your primary responsibilities will include ensuring that all documents are current, accurate, and easily accessible, allowing Zenith to operate with the most up-to-date information at all times.
What You Will Do
- Create, register, upload, and maintain documents within the Document Management System (DMS), including policies, procedures, drawings, specifications, contracts, technical reports, and more.
- Apply mandatory metadata (such as discipline, project, revision, status, and owner) to ensure accurate classification and quick retrieval of documents.
- Manage version and revision control effectively.
- Review documents for accuracy and up-to-date information.
- Identify and correct discrepancies, duplicates, broken links, and obsolete records.
- Maintain the Supplier Document & Data List (SDDL).
- Create and edit document templates as needed.
- Create and manage internal and external document transmittals.
- Create and manage workflows for internal reviews and approvals.
- Ensure that all contractual document deliverables are met for projects.
- Manage confidential records securely.
- Collaborate with various business departments, including engineers and project managers
What We Need from You
Experience & Skills
- Minimum 5 years of document control experience in engineering, mining, renewables, or a related field.
- Proven expertise in document control systems and the document lifecycle, including versioning and metadata.
- Strong planning, prioritisation, and problem-solving skills.
- Proficient in Microsoft Office, especially Word formatting.
- Excellent communication skills at all levels and strong customer service orientation.
- Ability to maintain confidentiality and a commitment to continuous improvement.
- Previous experience with the SharePoint software package is desirable.
- Experience using Aconex and MFiles/LCab would be beneficial.
Qualifications, Certifications.
Cert III in Business Administration or a graduate diploma in records management and archives is desirable but not essential.
